  • Every carer is enhanced DBS checked and paediatric first aid trained, with two qualified carers at every event and more to meet the EYFS ratios.
  • Book early: we notify Ofsted at least 14 clear days before each event, and a short-notice booking runs for 4 hours.
  • We cover Birmingham and the wider Midlands, and we invoice the company directly.
In this guide

Corporate event childcare means a professional crèche on site at your company event, so employees with young children can come along, take part and actually enjoy themselves. At Happy Little Guests we run pop-up event crèches across the Midlands for family fun days, conferences, summer parties and awards evenings, with qualified, DBS checked carers and everything the children need to have a lovely time. This guide covers how it works at each kind of event, what HR and event managers should check, and how far ahead to book.

Why add corporate event childcare to a company event?

For a lot of working parents, an invitation to an evening do or a conference outside school hours comes with a second question: who will have the children? Babysitters are hard to find, grandparents are not always nearby, and plenty of people quietly decline. A crèche at the venue changes that answer. Parents can come, their children are happy and busy, and nobody has to choose between work and family.

It also says something about your organisation. Offering childcare shows that you have thought about everyone on the guest list, not only the colleagues without young children.

Charlotte, who founded Happy Little Guests, has nearly a decade of experience in private nurseries and primary schools. She plans every booking personally, so you can talk through your children and the day with her before you book.

Family fun day childcare: a calm base on a busy site

Family fun days are brilliant, and they are also loud and busy. Inflatables, food vans, music and a crowd of unfamiliar faces can be a lot for a three-year-old (and for their parents). A crèche gives younger children a calm base with friendly carers and a clear routine, while the grown-ups chat, eat and join in a few steps away. It is a mobile crèche for events in the truest sense: we bring the whole set-up and turn a marquee, gazebo or spare room into a proper play space.

What children do with us

Our days are built around three kinds of play, which you can read more about in our activities:

  • Crafts and creativity: crowns, colouring, keepsakes and pictures to take home.
  • Games and active play: parachute games, music and movement, and outdoor games when the weather is kind.
  • A story den and quiet time: a teepee with fairy lights and a calm, sensory-friendly corner for children who need a break from the noise.

All activities and materials are included, so there is nothing for your events team to source.

Where to put the crèche on site

Ideally the crèche is close enough for parents to pop back easily, but not next to the stage speakers or the queue for the ice cream van. An indoor room, marquee or large gazebo with shade means the plan works whatever the British weather does. Easy access to toilets and drinking water helps too. Mark the crèche clearly on your event map so parents can find it without asking around.

Can you have a crèche at a conference or training day?

Yes, and a conference creche is one of the simplest ways to make a professional event open to more parents. Because parents stay at the venue while their children are with us, a conference is a natural fit: delegates are in sessions in one room, and their children are with us in a room nearby.

Daytime cover suits conferences, training days, AGMs and away days. Parents sign their children in before the first session, can look in at the coffee break or lunch, and sign them out when the last session finishes.

Choosing the right room

Ask your venue for a separate room on the same floor as the main sessions. Natural light, nearby toilets and a door that closes are worth more than sheer size. Avoid a room opening straight onto the exhibition area or catering route, as constant footfall makes it harder for little ones to settle. The room should be warm (18°C or more), with hand-washing close by, and we need it 45 minutes before the start to set up and 30 minutes after the end to pack down, so include that time when you book the room.

Share your agenda with us too. Knowing when the keynote and breaks fall means we can plan active games for when parents are tied up, and calmer activities for when families are likely to drop in.

Summer parties, Christmas parties and awards evenings

Evening events are where childcare makes the biggest difference, because they are the hardest for parents to arrange cover for. We provide evening cover for summer parties, Christmas parties and awards nights, so families can stay for the meal, the speeches and the dancing.

As the evening goes on, the crèche changes pace. Earlier on there are games and crafts (Christmas cards and paper crowns are a lovely fit for a December party). Later, the lights go down, the stories come out and the quiet corner becomes the busiest spot in the room. Some parents like their children to change into pyjamas before the evening, ready for the drive home, and a favourite blanket or comforter from home helps the wind-down feel familiar.

Awards evenings often run later than the running order says. If yours might, talk to us about a longer day at the quote stage.

What should HR teams check before corporate crèche hire?

If you are responsible for the event, you need to be confident that the crèche is safe, organised and easy to work with. Here is what to ask, and how we answer.

Safety and standards

Every Happy Little Guests carer is enhanced DBS checked and paediatric first aid trained, and we are fully insured. There are two qualified carers at every event, with more when the number and ages of the children need them. We follow the EYFS ratios: one carer to three children under 2, one to five two-year-olds, and one to eight for children aged 3 and over. Our guide to Ofsted, DBS and ratios explained goes into more detail.

On the day

We set up before guests arrive, sign every child in and out, and pack everything away at the end. We liaise with the venue about access, timings and the room, so your team is not stuck relaying messages. Two policies are worth sharing with parents in advance. Our staff do not give medication, with one exception: an emergency auto-injector that a parent has provided, shown us how to use and registered with us. And while we take photos at events, children's faces are never shown and names are never used. Parents can opt out of photos completely.

What parents need to know

A short note to parents before the event saves a lot of questions on the day. The points that matter most:

  • Stay on site and keep your phone on. Parents stay at the venue the whole time their child is with us and need to be reachable by phone straight away. At a conference, that means phones on silent rather than switched off. If a parent leaves the venue, for a client lunch elsewhere or an off-site dinner, their child comes with them.
  • Register in good time. Each child's registration needs to reach us at least 7 days before the event.
  • Pack the basics. Food, drinks, nappies and wipes are not included, so parents bring these for their own children, labelled with the child's name. We only give a child food or drink their parent has provided or approved.
  • Keep poorly children at home. A child who has had sickness, diarrhoea or a temperature in the 48 hours before the event cannot attend, which protects the other children and your colleagues.
  • Collection. We only hand a child to an adult named at registration, or to another adult who gives that child's collection password. At an evening party with a bar, it helps parents to know that we will not release a child to anyone we believe is unfit to care for them, including through drink.

Including children with additional needs

An inclusive family day should work for every family. Charlotte works regularly with children with special educational needs (SEN), and the quiet, sensory-friendly corner is part of every set-up rather than an add-on. Parents can tell us about routines, worries and what helps their child feel settled, and we plan around it. Our guide to supporting children with additional needs is written with weddings in mind, but the same thinking applies to a work event.

Paperwork and invoicing

We invoice the company directly, so nobody has to put the cost on a personal card and claim it back. Once your deposit has reached us, you also receive a registration link to forward to the parents attending, so each family can tell us about allergies, medical needs and anything that helps their child settle.

When to book an event crèche in Birmingham and the Midlands

The 14 clear days rule

Event crèches like ours are exempt from Ofsted registration under the Childcare (Exemptions from Registration) Order 2008. Part of working within that exemption is that we notify Ofsted in writing at least 14 clear days before each event, and we send that notification once your deposit has reached us. If a booking is made with less notice than that, it runs for 4 hours, which is also our minimum booking. A full family day or a conference that runs into the evening needs that notice in place, so book as early as you can.

Charlotte's tip If your finance team pays new suppliers in a monthly payment run, tell them about the crèche deposit as soon as you book. A deposit that waits for next month's run can eat into the 14 clear days, and a longer event would then fall back to a 4-hour booking.

A simple planning timeline looks like this:

  1. Two to three months before: check your venue has a suitable room, then get a quote for your event.
  2. As soon as the date is fixed: confirm the booking and pay the deposit, so we can notify Ofsted in good time.
  3. Three to four weeks before: forward the registration link to parents (it must reach every family at least 14 days before the event) and tell us about any change in numbers or ages, as ages decide how many carers we bring.
  4. The week of the event: share final timings, the room plan and a contact for the day.
