Wedding Crèche Cost: How to Budget for a Crèche or Wedding Nanny
What decides a wedding crèche cost in the UK, from hours and ages to travel, and who pays. Plan your Midlands wedding childcare budget and get an instant quote.
In this guide
Childcare is the line that often gets left off the wedding budget. The venue, the flowers and the photographer all get a column, and then someone asks, "So what are we doing with the children?" If you are trying to work out a wedding crèche cost, the honest answer is that it comes down to three things: how many hours you need, how many children are coming and how old they are, and how far your venue is from the provider. Rather than quote one figure that may not fit your day, we built an instant quote at Happy Little Guests that does the maths for you, using your hours, the children's ages and your venue postcode.
If you have been comparing creche hire prices across the UK, you may have found that quotes are hard to compare like for like. Usually that is because two weddings with the same number of children can need a different number of carers. This guide, drawing on Charlotte's nearly ten years in nurseries and primary schools, explains what drives the price, what a good quote includes, who usually pays and how to make your wedding childcare budget go further.
Wedding crèche cost: what decides the price?
Whether you are looking at an event crèche, a mobile crèche or a wedding nanny, the price is built from the same few pieces.
The hours you book
Time is the biggest part of any quote. We offer two packages: Short and sweet, for 4 hours, and Full event, for up to 6 hours, with longer days available for couples who want cover right through to the first dance. Both come with two qualified carers and every activity included.
The trick is booking the hours that matter rather than the whole day by default. Our wedding timeline guide walks through how many hours you really need.
The number and ages of the children
We follow the EYFS ratios at every wedding: one carer to three children under two, one carer to five two-year-olds, and one carer to eight children aged three and over. Two carers are included in every package, and the quote adds more only when the group needs them. The next section shows why the ages matter so much.
Travel to your venue
Travel up to 20 miles from our base in Redditch, Worcestershire, is included. If you are marrying further afield, from the Cotswolds to Shropshire, pop your venue postcode into the quote and it works out any mileage for you.

Why do children's ages matter more than headcount?
This is the part that surprises couples. Ten children can need more carers than sixteen, because the ratios depend on age. The way we work it out, each carer's group keeps to the ratio of its youngest child. A carer looking after a baby has no more than three children in all, a carer with a two-year-old no more than five, and a carer with only children aged three or over no more than eight. We plan the babies' groups first, and you get the number of carers that takes, never fewer than the two included in every package.
Here is how that plays out in practice:
- Sixteen children aged four to ten. At one carer to eight, they need exactly the two carers already included.
- Three babies and eight older children. The babies take up one carer's attention and the older children another. Eleven children, still two carers.
- Four babies and six older children. Only ten children, but the fourth baby tips the balance and the group needs three carers.
- Ten two-year-olds. At one carer to five, ten toddlers need two carers: lively, but covered by the two included.
- One baby and twelve older children. The baby's carer can look after two of the older children as well, and the other ten need two more carers. Thirteen children, three carers.
Charlotte will tell you the ratios exist for good reason. A baby needs a carer within arm's reach almost all the time, while a group of eight-year-olds mostly needs someone to run the parachute game and keep an eye on the glitter.
Charlotte's tip Add a line to your RSVP card or wedding website asking guests for the ages of any children coming, not just how many. Ages decide how many carers you need, so knowing them early means your quote is right first time.
What should a wedding crèche price include?
When you compare quotes, check what each one actually covers. A lower figure that leaves out materials or set-up can end up costing more.

Hidden costs to ask any provider about
Whether you are booking a crèche or wondering how much a wedding nanny is, these are the questions that stop a budget from creeping:
- Extra carers. When is a carer added, and how is that worked out from the children's ages?
- Mileage. How many miles are included, and how is travel beyond that charged?
- Materials. Are craft supplies, toys, mats and a quiet corner part of the price, or an add-on?
- Set-up time. Does setting up and packing down come out of your booked hours, or is it charged separately?
- Late finishes. Weddings run late. What happens if the speeches overrun or the evening goes on, and how is extra time agreed?
- What parents bring. With us, food, drinks, nappies and wipes are not included: parents bring these for their own children. Check what any provider expects families to pack, so nobody arrives without a bottle.
How much is a wedding nanny compared with a crèche?
People often search for wedding nanny prices and crèche prices side by side, but they are priced around different things. A wedding nanny is usually booked for one family's children, so if five families each want help, that can mean five separate arrangements. A crèche is booked once by the couple and staffed for the whole group, so the cost is set by the total hours, the number of children and their ages.
For one baby whose parents want someone at their elbow all day, a nanny can be the right call. For a mixed group of babies, toddlers and school-age children, one crèche with a team of carers is usually simpler to organise and gives the children each other's company. Our guide to a wedding nanny or a crèche compares the two properly, and the questions above work for both.
Who pays for a wedding crèche?
There is no fixed rule about who pays for a wedding creche, and couples handle it in different ways. Here are three common approaches.
The couple, as a gift to their guests
Many couples cover the crèche themselves, just as they cover the meal and the drinks. It is a thoughtful thank you to friends and family travelling with children.
Parents chipping in
Some couples ask parents to contribute. If you do, keep it optional, private and early: a friendly message or a quick call works far better than a line printed on the invitation. Something like, "We've booked a professional crèche for the afternoon so you can relax. If you'd like to put something towards it, we'd be grateful, but please don't feel you have to," keeps things warm and leaves nobody feeling awkward.
A relative's wedding present
Grandparents, godparents or an aunt who loves a good party sometimes give the crèche as their wedding present. It takes a line off your budget, and every parent at the wedding will feel it.
Whichever you choose, say it simply on your wedding website or invitation insert: "We'd love your little ones to join us. A crèche with qualified carers will be running during the meal and speeches, so grown-ups can relax and children can have a party of their own." If you are still weighing up whether to invite children at all, our guide covers the etiquette and wording.

How can you make your wedding childcare budget go further?
- Book the hours that matter most. The pinch points are usually the ceremony through to the speeches, when children need to be quiet and still, or the speeches through to the evening, when little ones are tired.
- Count the children who will actually use it. A newborn who will sleep in a pram beside their parents, or an older child who would rather be on the dance floor, may not need a place. Ask parents early which children will join the crèche, so your quote is built on real numbers.
- Book early. We notify Ofsted in writing at least 14 clear days before every event, and a booking made with less notice than that runs for 4 hours. Booking early, and paying your deposit in good time, keeps the Full event package and longer days open to you.
- Use a room the venue already has. A side room or garden room near the celebration works beautifully, and we check with your venue that it suits.
Good to know For a booking over 4 hours, the deposit needs to reach us in time for us to give Ofsted 14 clear days' notice. If it arrives too late, the crèche runs for 4 hours on the day and the price stays the same, so put the deposit date in the diary as soon as you book.
Is a wedding crèche worth the money?
We are biased, but here is what it changes on the day.
- Parents eat while it is hot. No cutting up a toddler's dinner or walking a baby round the car park.
- Speeches stay calm. No wails during the best man's big punchline.
- Guests with children can say yes. A babysitter for a whole day and evening is not always possible, so a crèche can turn a polite decline into a happy acceptance.
- Children have their own party. Crowns, cards for the couple, parachute games and a story den for a rest.
Weighed against the rest of the budget, a crèche is one of the few lines that improves the day for almost every guest at once.

Your questions answered
How much does a wedding crèche cost in the UK?
It depends on how many hours you need, how many children are coming and how old they are, and how far your venue is from the provider. We do not publish one fixed figure because the ages of the children decide how many carers are needed, so our instant quote works it out for your exact day.
Who usually pays for childcare at a wedding?
Usually the couple, as a thank you to guests who are bringing children. Some couples ask parents to contribute privately and on an optional basis, and some relatives give the crèche as their wedding present.
Is a wedding crèche worth the money?
For many couples, yes. Parents can eat their meal while it is hot, the speeches stay calm, families who might have declined can say yes, and the children get a party of their own with crafts, games and a cosy story den.
Do I need extra carers for babies?
Sometimes. Babies under two are cared for at one carer to three children, so a group with several babies can need a third carer even when the headcount is small. When the children fit the EYFS ratios with two carers, the two included in every booking cover it, and our quote adds any extra carer for you.
